Cancellation Policies

CANCELLATION POLICIES & PROCEDURES

  1. Students may cancel their classes and not be charged for the missed sessions if they notify their instructors by calling the instructor’s voice mail number (see either student schedule or school website for teachers’ ETC voicemail number) by 7 AM the day of the scheduled classes. This policy does not apply to sessions scheduled to begin prior to 8 AM; to cancel classes that start before 8 AM, students must call their instructors the evening before by 7 PM. Students must also cancel by these deadlines whenever their school has an alternative schedule and they cannot make it to their regularly scheduled session. Cancellations made within the above guidelines are considered excused absences and are not charged to the parent. Note: Students meeting at the Lutheran Church location will need to follow these same guidelines for cancellation of classes.


  2. Students will be allowed a maximum of 2 excused absences per quarter. Additional absences beyond the two allowed per quarter will be charged to the client.


  3. Students who will not be at class should call the instructor as soon as possible. If student does not appear for a scheduled session, the instructor will wait 20 minutes and then will attempt to notify the contact person of the absence.


  4. Parents should notify the instructors and their student’s coordinator of an extended trip or illness.


  5. Students are not charged for any session that the instructor must cancel. A make-up session may be scheduled by the instructor at a time that is convenient for both the student and the instructor.


  6. If a student's school is canceled because of an emergency or snow, the student will call the instructor’s voicemail by 7 AM and the class will be cancelled.


  7. Students are requested to give their instructors a copy of their school schedule and to confirm cancellation of sessions due to scheduled school vacations, holidays, or non-school days.


  8. Instruction is automatically canceled and not charged for all national and school holidays. Students who wish to meet on these days may discuss the possibility with their individual instructors.
